Position Summary 

The IT Asset Management Administrator role is part of a team that is responsible for managing the lifecycle of IT assets. This includes tracking, maintaining, and optimizing hardware, software, and other IT resources. Key responsibilities may include inventory management, license compliance, procurement, disposal, and ensuring the security and cost-effectiveness of IT assets. We will often collaborate with various departments to streamline processes and ensure alignment with organizational goals. 

Essential Job Functions:

  • Inventory Management: Maintaining accurate records of all IT assets owned by the organization, including hardware, software, licenses, and related documentation.
  • Procurement: Managing the procurement process for new IT assets, including researching vendors, obtaining quotes, negotiating contracts, and coordinating purchases.
  • Asset Tracking: Track the location, status, and usage of IT assets throughout their lifecycle, including assigning assets to employees, tracking movement between locations, and conducting periodic audits.
  • License Management: Ensuring compliance with software license agreements by tracking usage, managing license renewals, and reconciling licenses with installed software.
  • Disposal: Coordinating the retirement or disposal of obsolete or excess IT assets by organizational policies and regulatory requirements, including data sanitization and environmentally responsible disposal methods.
  • Vendor Management: Establishing and maintaining relationships with IT vendors and service providers, including managing contracts, resolving issues, and evaluating vendor performance.
  • Documentation: Creating and maintaining documentation related to IT asset management processes, procedures, and policies, including asset inventory lists, purchase orders, invoices, and license agreements.
  • Reporting: Generating reports and providing analysis on IT asset usage, expenditures, compliance status, and other relevant metrics to support decision-making and budget planning.
  • Training and Support: Providing training and support to employees on IT asset management processes, tools, and best practices to ensure compliance and efficient use of resources.
  • Continuous Improvement: Identifying opportunities for process improvement and implementing measures to enhance the effectiveness and efficiency of the asset management function.

Position Requirements:

  • Previous experience in IT asset management, inventory management, or related fields.
  • Strong understanding of IT infrastructure, hardware, software, and licensing agreements.
  • Excellent organizational and analytical skills, with attention to detail.
  • Effective communication skills, both verbal and written, for collaborating with different teams and stakeholders.
  • Ability to prioritize tasks and manage multiple projects simultaneously.

Preferred:

  • Bachelor’s degree in Computer Science, Information Technology, Business Administration, or related field
  • Proficiency in asset management tools and software, such as ServiceNow, Ivanti, or NetSuite.
  • Understanding of compliance and regulatory requirements related to IT asset management.
  • Knowledge of ITIL (Information Technology Infrastructure Library) principles and best practices.
