Position Summary

Provide organization support for the Operations leadership team and departments.

 

Summary of Essential Job Functions

  • Support business leaders by providing guidance and information to internal customers, business partners to coordinate and prioritize department needs
  • Prepare internal and external corporate documents and reports for team leaders and partners. (Invoicing and monthly Estimates)
  • Organize, prioritize and coordinate business reviews, Employee Engagement events, partner and guest meetings, department business reviews, training, town halls etc. to include documentation and minutes coordinate audio / video as needed
  • Support Operations administrative needs to include but not limited to; coordination of executive weekly updates, supply ordering, maintain organization charts and call trees, distribution lists, site events (baseball/hockey), printer, leader calendars
  • Effectively communicate and work with all levels of management maintaining a high level of confidentiality and professionalism
  • Coordinate domestic and foreign travel arrangements for various levels of management, including appropriate approvals and Visa requirements.
  • Ability to assess circumstances and problem solve with minimal supervision, exercising common sense and diplomacy. 
  • Submit appropriate access requests for new hires, transfers and terminations to include seat assignment and moves.
  • Support leadership team for administration of HR action items

 

Position Requirements

  • Minimum of 2 years’ experience in an office/production environment providing support to multiple leaders.  College, business or administrative school a plus.
  • Proficiency in MS Office Word and Outlook at an expert level; proficiency in PowerPoint, Share Point, Excel and Lucid Charts/Visio at intermediate levels or above.
  • Possess a strong understanding of an operational environment: various levels of employees, large number of projects both tactical/urgent and strategic, various levels and ever-changing priorities, and various levels of personalities/behaviors.
  • Must be able to multi-task while remaining flexible, with meticulous attention to detail, accuracy, and have the ability to meet deadlines with minimal supervision.
  • Must possess high emotional intelligence and business maturity
  • Must possess strong organizational skills for the efficient and successful handling and management of multiple projects while meeting multiple deadlines.
  • Highly self-motivated and able to prioritize and manage tasks in a fast pace environment.
  • Proficient in written communications including clear and concise writing, editing for spelling and grammar, and an ability to interpret information.
  • Speaks clearly and persuasively, representing the Corporation in a professional manner.
  • Must be dependable, timely, have a positive attitude, and a team work ethic.
  • You may be required to work additional hours to meet the needs of the business. All other duties as assigned.
