Position Summary
The Human Resources Administrative Assistant will work under direct supervision to support the Human Resources (HR) department, its processes, and its practices. The administrative assistant will perform task-oriented work in all areas of the HR function including, but not limited to, data entry, scheduling, training room setup, paperwork filing, routine reporting, and triaging employee questions. In addition, the administrative assistant will serve as the front-line of HR, greeting all visitors and directing walk-in traffic in the department’s office area.
Summary of Essential Job Functions
- Support the HR Leadership Team and the Chief HR Officer with administrative tasks, as needed.
- Manage the HR e-mail inbox, answering routine questions, and triaging more complex questions to the appropriate HR team, HR team member, or resource.
- Distribute incoming mail to the appropriate HR team, HR team member, or resource.
- Distribute payroll checks, company t-shirts, and company event-related materials to appropriate employees.
- Greet and direct visitors and walk-in employees.
- Assist employees with routine HR questions and routine paperwork.
- Coordinate meeting/conference room scheduling for orientations, training, and other events.
- Coordinate monthly office supply orders for the HR department.
- Help maintain all HR information provided to employees through the department’s intranet site (SharePoint).
- Deliver routine reporting to other areas of the business on specific HR and employee activities (compliance training completions, rosters, etc.).
- Perform other duties as assigned.
Position Requirements
- High school diploma or GED.
- Prior professional experience interacting with customers, clients, and/or executives, preferably in an office environment (typically, successful candidates will have at least 2 years of experience in an office environment).
- Strong computer literacy with proficiency in Microsoft Office tools and other basic office software.
- Keen interest to learn about the HR functions.
